Executive Admin Responsibilities:

  • Handle administrative duties such as: maintain travel calendar, facility invoices, order office supplies, business cards and Holiday Cards.
  • Maintain and update files on SharePoint.
  • Vendor management to include but not limited to, contacting vendors when issues arise, taking calls from vendors when questions arise.
  • Arrange travel and accommodations for teams in training at new site startups.
  • Track, record, reconcile, and report travel expenses.
  • Arrange quarterly or semi-annual meetings to include: hotel, meeting room, transportation, entertainment, promotional items and food.
  • Perform additional duties/assignments as may be required by management.


Finance Assistant Responsibilities:

  • Submit payroll for processing.
  • Review Field and Central Team Expense Reports for proper coding and cost charging.
  • Generate expense reports to review and reconcile to prepare for invoicing.
  • Generate and submit Invoices to Customer.
  • Track payments and work with Customer A/P department to resolve payment issues.
  • Maintain and generate Staffing/Labor reports.
  • Run Monthly Performance Reports and Ad Hoc Reports for management to review.
  • Reconcile GL Accounts and investigate variances. Post journal entries.
  • Perform additional duties/assignments as may be required by management.


  • Minimum Bachelor’s Degree in Business Administration, Accounting, or Finance.
  • 5+ years of related work experience.
  • Intermediate to Advanced MS Excel skills is highly preferred.
  • Proficiency in MS Office to include Word, Excel, Power Point and Outlook.
  • Familiarity with SharePoint and Adobe Acrobat.
  • Good critical thinking and analytical skills.
  • Excellent communication, organizational and interpersonal skills, both written and verbal.
  • Ability to handle multiple projects and assignments in a fast paced work environment.
